ACCOUNTING & ADMINISTRATION SPECIALIST
GBPA Architects is seeking an Accounting & Administration Specialist with basic Management Control/Controlling skills to support administrative activities and the economic monitoring of projects.
With 3–4 years’ experience, the successful candidate will manage the studio’s day-to-day accounting (accounts receivable/payable, bank reconciliations, cash flow) and support management in monitoring project costs and revenues, contributing to periodic reports and the budgeting process.

Key Responsibilities
Accounting & Administration
-
Manage general ledger and statutory books.
-
Handle accounts receivable and payable; manage client/supplier records.
-
Perform monthly bank reconciliations.
-
Manage cashbook/petty cash and journal entries.
-
Update and monitor cash flow.
-
Prepare and check sales and purchase invoices.
-
Post basic accounting entries (fixed assets, accruals, deferrals/prepayments).
-
Manage month-end close and annual financial statements.
-
Liaise with external professionals (chartered accountant/tax advisor for year-end close; payroll/labour consultant).

Prepare financial reports and documentation for tax filings.
-
Assist in budget preparation and financial forecasting.
Project Support

Prepare SAP/SAL – Stato Avanzamento Lavori (work progress statements).

Support administrative and accounting management of projects.

Assist external collaborators with SAP/SAL and invoicing.

Handle project-related administrative tasks (payments, filings/registrations with public bodies, documentation).
Basic Management Control (Controlling)

Monitor the economics of ongoing projects, analysing timelines, costs, and margins.

Collect, process, and analyse project financial data to ensure budget compliance.

Produce periodic reports on project performance.

Support preparation of the annual budget and quarterly forecasts.

Conduct variance/actuals analysis against predefined KPIs.
-
Support financial planning and liquidity management.
Requirements
-
High school diploma or degree in Economics or related fields.

At least 3–4 years’ experience in administrative/accounting roles.

Good knowledge of accounting and tax principles.

Basic understanding of management control (budgeting, variance analysis, cost accounting).

Proficiency with common accounting and ERP/software tools.

Strong ability to analyse and interpret financial data.

Team player with high attention to detail.
