Description
In the context of our ongoing growth, we are looking for a new team member to join us in the role of Office Manager.
Reporting directly to the Management, the selected candidate will be responsible for ensuring the efficiency, organization, and smooth operation of office activities and corporate operations.
In particular, the Office Manager will serve as the main point of reference for the daily management of the office, the coordination of general services, and the operational support of the various teams — actively contributing to the improvement of internal processes.
Main Responsibilities
- Overall office supervision: managing daily operations and coordinating workflows, ensuring operational efficiency and alignment with company objectives.
- Supplier and general services management: selecting, negotiating, and monitoring suppliers of goods and services; managing contracts, orders, and related budgets.
- Administrative and organizational coordination: managing the executive agenda, planning and coordinating meetings, internal and external events, business trips, and travel arrangements.
- Internal and external communications: supporting management in the preparation of documents, reports, and presentations; overseeing corporate image and communication.
- Office space and resource management: monitoring and optimizing inventory and supplies, supervising maintenance, and managing the workspace layout.
- Operational and marketing team support: assisting with the preparation of documents for tenders and projects, coordinating information flows, and updating the company CRM.
- Continuous improvement projects: identifying opportunities to optimize processes, tools, and operational practices, fostering organizational efficiency and employee well-being.
Candidate Profile
- Proven experience (min. 3–5 years) in Office Manager or Executive Assistant roles within structured or growing organizations.
- Good command of written and spoken English.
- Excellent knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and main digital collaboration and CRM tools.
- Strong organizational, planning, and prioritization skills.
- Autonomy, problem-solving abilities, and sound decision-making skills.
- Accuracy, discretion, and a strong results-oriented mindset.
- Excellent interpersonal and communication skills, with the ability to interact effectively with stakeholders at all levels.
- Team-oriented approach and ability to manage cross-functional projects.
